Donation Terms

2. Scope of this agreement

These Donation Terms ("Terms") apply to all donations made to BrainGreen Foundation through the BottleChallenge website (bottlechallenge.org), including the "Help Us Grow" page and any other donation channels associated with the project.

By making a donation, you agree to these Terms. These Terms supplement our general Terms of Service and Privacy Policy.

3. Types of donations

3.1 One-time donations

A single contribution of a specified amount in your chosen currency. One-time donations are processed immediately and are non-recurring.

3.2 Recurring (monthly) donations

A recurring contribution that is automatically charged to your payment method on a monthly basis until you cancel. You may cancel at any time (see Section 7).

3.3 Minimum amounts

The minimum donation amount is determined by the payment processor (WhyDonate). There is no maximum donation limit. All donations, regardless of size, are valued and contribute to our mission.

4. Payment processing

4.1 Payment processor

Donations are processed through WhyDonate (whydonate.com), a certified crowdfunding and donation platform based in the Netherlands. WhyDonate handles all payment processing, including credit card and bank transfer transactions.

4.2 Payment security

All payment transactions are encrypted and processed securely through PCI DSS-compliant payment infrastructure. BrainGreen Foundation does not store your credit card or banking information.

4.3 Currencies

You can donate in multiple currencies as supported by the WhyDonate platform. Currency conversion, if applicable, is handled by your bank or payment provider at their prevailing exchange rate.

4.4 Processing fees

WhyDonate may apply a small transaction fee. This is clearly disclosed during the donation process. BrainGreen Foundation receives the full donation amount minus any payment processing fees charged by WhyDonate.

5. Use of donated funds

All donations to BrainGreen Foundation are used exclusively to support the BottleChallenge project and its environmental mission. Specifically, funds are allocated to:

Note: Donations are made to the general fund of BrainGreen Foundation and may be allocated at the Foundation's discretion to any area that supports its mission. We do not accept earmarked or restricted donations at this time.

6. Tax deductibility

6.1 Poland

BrainGreen Foundation is a registered foundation (fundacja) in Poland (KRS: 0000964547). Donations may be tax-deductible depending on your personal tax situation. Please consult your tax advisor for details on applicable deductions.

6.2 European Union

Tax deductibility of cross-border donations within the EU varies by country. Some EU member states recognise donations to foreign non-profits under certain conditions. We recommend consulting your local tax authority.

6.3 Other countries

Tax deductibility for donors outside the EU depends on local tax legislation. BrainGreen Foundation provides donation receipts upon request, which you may use to claim deductions where applicable.

6.4 Donation receipts

You will receive an automatic email confirmation from WhyDonate for each donation. If you require a formal donation receipt for tax purposes, please contact us at [email protected].

7. Recurring donations

7.1 How recurring donations work

When you set up a recurring donation, your chosen amount is charged automatically to your payment method each month on approximately the same date as your initial donation.

7.2 Cancellation

You may cancel your recurring donation at any time, with no penalty or fee. To cancel:

• Use the cancellation link in your WhyDonate donation confirmation email
• Contact WhyDonate directly at whydonate.com
• Email us at [email protected] and we will process your cancellation request

Cancellation takes effect before the next scheduled payment. Already-processed payments are subject to the refund policy below.

7.3 Changes to amount

To change the amount of a recurring donation, cancel the existing one and set up a new recurring donation with the desired amount.

8. Refund policy

8.1 General policy

Donations are voluntary contributions and are generally non-refundable. However, we understand that mistakes happen and we handle refund requests on a case-by-case basis.

8.2 Eligible refund situations

We will consider a refund in the following cases:

• Duplicate charges: if you were charged more than once for the same donation
• Incorrect amount: if a different amount was charged than what you intended
• Unauthorised transaction: if the donation was made without your authorisation
• Technical error: if a system error resulted in an unintended donation

8.3 Refund process

To request a refund, contact us at [email protected] within 30 days of the donation, including:

• Your name and email address used for the donation
• Date and amount of the donation
• Reason for the refund request

Approved refunds are processed within 14 business days and returned to the original payment method.

9. Transparency & reporting

BrainGreen Foundation is committed to full transparency in how donated funds are used:

• Public impact data: real-time statistics on refill locations, countries served, and environmental impact are visible on our Impact page
• Annual report: we publish an annual summary of activities, funds received, and how they were allocated on BrainGreen Foundation website
• Open communication: donors can contact us at any time to ask questions about fund usage

10. Donor rights & privacy

10.1 Data we collect

When you make a donation, WhyDonate collects your name, email address, and payment information. BrainGreen Foundation receives your name, email, donation amount, and date — but NOT your payment card details.

10.2 How we use your data

We use donor information solely for:

• Processing your donation and sending receipts
• Thanking you for your contribution
• Providing impact updates (with your consent)
• Legal and tax compliance

As a donor, you have all the rights described in our Privacy Policy, including the right to access, correct, or delete your data. Contact us at [email protected].

11. Limitation of liability

BrainGreen Foundation makes every effort to use donations responsibly and in accordance with its stated mission. However:

• Donations are voluntary contributions and do not create a contractual obligation to achieve specific outcomes
• We are not liable for any loss arising from payment processing errors by third-party processors (WhyDonate, banks)
• Environmental impact figures are estimates based on available data and research

12. Changes to these terms

We may update these Donation Terms from time to time. When we make changes:

• We will update the "Last Updated" date at the top of this page
• For material changes, we will notify active recurring donors via email
• Continued donations after changes take effect constitute acceptance of the revised terms
