Donation Terms

2. Scope of this agreement

These Donation Terms ("Terms") apply to all donations made to BrainGreen Foundation through the BottleChallenge website (bottlechallenge.org), including the "Help Us Grow" page and any other donation channels associated with the project.

By making a donation, you agree to these Terms. These Terms supplement our general Terms of Service and Privacy Policy.

3. Types of donations

3.1 One-time donations

A single contribution of a specified amount in your chosen currency. One-time donations are processed immediately and are non-recurring.

3.2 Recurring (monthly) donations

A recurring contribution that is automatically charged to your payment method on a monthly basis until you cancel. You may cancel at any time (see Section 7).

3.3 Minimum amounts

Donations are made in euro. The minimum is EUR 1 and the maximum for a single donation through the website is EUR 10,000. If you would like to give more than that, please contact us and we will arrange a bank transfer. All donations, whatever their size, are valued.

4. Payment processing

4.1 Payment processor

Donations are processed through Stripe. For donors in the European Economic Area the contracting Stripe entity is Stripe Payments Europe, Limited, with its registered office in Dublin, Ireland. When you choose an amount you are taken to a payment page hosted by Stripe, you enter your details there, and you are returned to our website afterwards.

BrainGreen Foundation is the recipient of your donation and holds the Stripe account. Stripe acts as our payment service provider. We are not a crowdfunding platform and no intermediary collects the money on our behalf.

4.2 Payment security

Payment details are entered on Stripe's own payment page and are handled under Stripe's PCI DSS certification. Your card number never reaches BottleChallenge systems, and we neither see nor store it.

4.3 Currencies

Donations are charged in euro. If your card is denominated in another currency, your bank or card issuer converts the amount at its own rate and may add its own charge. That conversion is between you and your bank, and we have no part in it.

4.4 Processing fees

Stripe charges a processing fee on each transaction, which it deducts before the money reaches us. We therefore receive your donation less that fee. We do not add any charge of our own, and nothing is deducted for administration.

4.5 Accepted payment methods

You can pay by payment card or with Stripe Link. We do not currently accept donations by direct debit, bank transfer or digital wallet through this page. If you would prefer to transfer money directly, our bank details are in section 1.

5. Use of donated funds

All donations to BrainGreen Foundation are used exclusively to support the BottleChallenge project. Specifically, funds are allocated to:

Note: Donations are made to the general fund of BrainGreen Foundation and may be allocated at the Foundation's discretion to any area that supports its mission. We do not accept earmarked or restricted donations at this time.

6. Tax deductibility

6.1 Poland

BrainGreen Foundation is a registered foundation (fundacja) in Poland (KRS: 0000964547). Donations may be tax-deductible depending on your personal tax situation. Please consult your tax advisor for details on applicable deductions.

6.2 European Union

Tax deductibility of cross-border donations within the EU varies by country. Some EU member states recognise donations to foreign non-profits under certain conditions. We recommend consulting your local tax authority.

6.3 Other countries

Tax deductibility for donors outside the EU depends on local tax legislation. BrainGreen Foundation provides donation receipts upon request, which you may use to claim deductions where applicable.

6.4 Donation receipts

Stripe sends an automatic receipt to the email address you give at checkout. If you require a formal donation receipt for tax purposes, please contact us at [email protected].

7. Recurring donations

7.1 How recurring donations work

When you set up a recurring donation, your chosen amount is charged automatically to your payment method each month on approximately the same date as your initial donation.

7.2 Cancellation

You may cancel your recurring donation at any time, with no penalty or fee. To cancel:

• Email us at [email protected] and we will process your cancellation request

Cancellation takes effect before the next scheduled payment. Already-processed payments are subject to the refund policy below.

7.3 Changes to amount

To change the amount of a recurring donation, cancel the existing one and set up a new recurring donation with the desired amount.

8. Refund policy

8.1 General policy

A donation is a voluntary contribution and is not refunded as a matter of course. We do refund the four situations listed below, and we consider any other request on its merits.

8.2 Eligible refund situations

We will consider a refund in the following cases:

• Duplicate charges: if you were charged more than once for the same donation
• Incorrect amount: if a different amount was charged than what you intended
• Unauthorised transaction: if the donation was made without your authorisation
• Technical error: if a system error resulted in an unintended donation

8.3 Refund process

To request a refund, contact us at [email protected] within 30 days of the donation, including:

• Your name and email address used for the donation
• Date and amount of the donation
• Reason for the refund request

Approved refunds are processed within 14 business days and returned to the original payment method.

9. Transparency & reporting

BrainGreen Foundation is committed to full transparency in how donated funds are used:

• Public data: real-time statistics on refill locations, countries served, and total refills logged are visible on our refills page
• Annual reporting: as a Polish foundation we file annual financial statements with the National Court Register, where they are publicly accessible. We also intend to publish a plain summary of activities and how funds were used on the BrainGreen Foundation website
• Open communication: donors can contact us at any time to ask questions about fund usage

10. Donor rights & privacy

10.1 Data we collect

When you donate, Stripe collects the details needed to take the payment, including your card details and the email address you enter for the receipt. BrainGreen Foundation receives from Stripe the donation amount, the date, the last four digits of the card and the email address, so that we can account for the donation and answer questions about it. We never receive your full card number. Stripe processes payment data as an independent controller under its own privacy policy.

10.2 How we use your data

We use donor information solely for:

• Processing your donation and sending receipts
• Thanking you for your contribution
• Sending you updates about the project, if you have asked for them
• Legal and tax compliance

10.3 What we do NOT do

10.4 Your rights

As a donor, you have all the rights described in our Privacy Policy, including the right to access, correct, or delete your data. Contact us at [email protected].

11. Limitation of liability

BrainGreen Foundation makes every effort to use donations responsibly and in accordance with its stated mission. However:

• Donations are voluntary contributions and do not create a contractual obligation to achieve specific outcomes
• We are not liable for any loss arising from payment processing errors by third-party processors (Stripe, banks and card issuers)
• Figures we publish about the project, such as the number of refill points or recorded refills, describe activity on the Platform. They are not audited and should not be read as a measurement of environmental outcomes

12. Changes to these terms

We may update these Donation Terms from time to time. When we make changes:

• We will update the "Last Updated" date at the top of this page
• For material changes, we will notify active recurring donors via email
• Continued donations after changes take effect constitute acceptance of the revised terms
